Gearhouse Broacast are seeking an Administrative Assistant to support Office Manager and Senior Leadership Team within our Hertfordshire Office.  You will be naturally approachable and want to get stuck in, working with the team to deliver great results, as well as have good computer skills and attention to detail. 

Responsibilities include:

  • In conjunction with the Office Manager to coordinating and scheduling complex meetings and events involving senior leaders/participants in multiple time zones
  • Answering the phone in a warm/friendly manner
  • Welcoming any external visitors (security entry phone)
  • Managing the daily post, incoming and external (franking etc.)
  • Maintaining daily checks on printers (paper) and general office supplies
  • Compiling meeting agendas (where appropriate), reserving meeting rooms, and arranging all associated details
  • Managing conference call invitations using Starleaf internal conference system
  • Using/updating PowerPoint presentations and Excel documents
  • Making travel arrangements for our SLT and processing expenses/credit card statements as required
  • Managing general office stationery supply and upkeep of boardroom/general office supplies
  • Creating and updating reports - databases and spreadsheets (where required)
  • Interfacing with other Coordinators, departments and Managers and partner teams such as HR, IT and Office Services on various requests and projects
  • Supporting other teams administratively as and when required.
  • Raising purchase orders
  • Booking of maintenance service visits as and when for GHB-Watford
  • Participating in a variety of other projects and assignments as needed

What would we like to see in your background?

  • A minimum of 1-2 years of previous Administrative Assistant experience
  • Excellent interpersonal and communication skills
  • Self-starter; ability to take on work with minimal to little guidance
  • Ability to work well under pressure and prioritize time-sensitive tasks
  • Ability to demonstrate good judgment in ambiguous situations
  • Ability to demonstrate flexibility with a changing workload with a positive outlook
  • Initiative to work creatively and collaboratively with others across different global regions
  • Experience with electronic calendaring (Outlook) and proficiency in MS Word, Excel, and PowerPoint
  • Desirable - experience coordinating domestic and international travel and processing expenses
  • A desire and demonstrated ability to learn new technologies and leverage opportunities for process improvements
  • Ability to compile data and information into useful summaries and reports
  • A high degree of discretion and the ability to manage highly confidential information
  • Desirable - experience supporting multiple senior leaders in a corporate environment and/or facilities/office administration experience is a plus
