We are looking for a Production Coordinator, with a drive to deliver and an exacting attention to detail to our Production team in Dublin. The ideal candidate will have a proven background in forward planning and execute their day-to-day duties with care and consideration. The Production Coordinator will be an integral part of our Production team and you will take guidance from the Senior Production Coordinator while reporting to the Service Delivery Manager at our clients Remote Broadcast Centre, Swords, Dublin. The position may require international travel on occasion.

EMG/Gravity Media are currently recruiting for a Service Delivery Manager.  Based at our client’s premises in Dublin, the Service Delivery Manager will work with our broadcast team in the delivery of EMG/Gravity Media’s scope of services to the client. We operate in a partnership with our client, ensuring that people are front and centre of what we do. The successful candidate must have strong leadership skills and ensure accountability is taken for crewing both permanent and flexible resources.

JOB PURPOSE 

We are looking for a Production Coordinator, with a drive to deliver and an exacting attention to detail to our Production team in Dublin. The ideal candidate will have a proven background in forward planning and execute their day-to-day duties with care and consideration.

The ideal candidate will need to be a clear and confident communicator, be able to adapt quickly to both production and on-air changes and remain calm under pressure. Their aim will be to ensure accurate delivery of service, everything from hotel, travel, catering, studio/talent needs to supporting the Senior Production Coordinator, Production Manager and Producer circles.  

 

The Production Coordinator will be an integral part of our Production team and you will take guidance from the Senior Production Coordinator while reporting to the Service Delivery Manager at our clients Remote Broadcast Centre, Swords, Co. Dublin. The position may require international travel on occasion.   The Production Coordinator will be working in the most advanced Remote Broadcast Centre in the World. 

RESPONSIBILITIES 

  • Working with other crew members, inputting, and maintaining the master calendar of events which include event productions and crewing schedules. 
  • Manage administrative tasks associated with events/productions. 
  • Booking of travel and accommodation. 
  • High availability after-hours, and on-call for emergencies – role includes weekend work. 
  • Liaising with relevant in-house stakeholders and securing, managing, and updating needs for the broadcast, broadly in the areas of catering, travel, and accommodation.  
  • Ensuring the specialist dietary needs of visiting crews are catered for. 
  • Ensuring any special dietary meals are ring fenced.  
  • Proactive action in anticipating changes and adjustments in needs of the broadcast and gallery team. 
  • Preparing draft call sheets for review. 
  • Arrive before the core call time to ensure the site is ready for the day’s broadcast.  
  • Coordinate local shuttle bus/taxi collections. 
  • Printing and distribution of call sheets. 
  • Production assistant duties i.e., being the go-to person for facility and administrative needs that arise on broadcast days.  
  • Support to talent/presenters – meet and greet/offering assistance. 
  • Check-in on other departments, ensuring assets or resources required are provided for respective tasks.  
  • Keeping track/record of travel and on-site catering. 
  • Gathering invoices from travel, accommodation, and catering partners – confirming accuracy/cross checking dates and times in conjunction with Senior Production Coordinator. 
  • Ensuring any feedback or notes from Producing circle are implemented for next day’s broadcast. 
  • Performing regular reporting on performance of the centres by identifying and tracking data for KPI. 

 

This position will have access to the entire production team, talent and behind the scenes access. The ideal candidate will have a service first approach coupled with an eye for details and forward planning view to mitigate future tasks and needs.

EXPERIENCE PROFILE 

Essential: 

  • Experience managing data entry and competent in excel and Google sheets. 
  • Demonstration of previous experience of some of the duties and responsibilities outlined in this job description 
  • Previous experience as a Production Coordinator, or a Production Assistant for 1-2 years in TV 
  • Solid planning and organisational skills 
  • Attention to detail – take pride in representing accurate data with an acute attention to detail. 

 Desirable (but not essential): 

  • Knowledge of outside broadcast production an advantage  
  • Previous mentoring of Production Assistants or Runners 
  • A background in hospitality – be it cafes, restaurants or hotels is desirable but not necessary.
