The Middle East is a strategically important area of growth for EMG/Gravity Media. In order to support the delivery and establishment of our new company in KSA, we are seeking an Operational Assistant. Based in our Riyadh office and reporting into the General Manager, the Operational Assistant will be responsible for supporting the General Manager with day-to-day office administration and onsite operations at live events.

THE ROLE

The Middle East is a strategically important area of growth for EMG/Gravity Media. In order to support the delivery and establishment of our new company in KSA, we are seeking an Operational Assistant. Based in our Riyadh office and reporting into the General Manager, the Operational Assistant will be responsible for supporting the General Manager with day-to-day office administration and onsite operations at live events.

EMG/Gravity Media encourages career and personal development, the position will offer the opportunity to develop skills within the exciting media and broadcast industry.  As such, in addition to KSA based duties, the successful candidate may be asked to support other EMG/Gravity Media business units at a range of projects across the world.

The successful candidate will need to work from home until office facilities in Riyadh are established, and will be crucial in setting up our future premises.

RESPONSIBILITIES

Operational & Office Management
Assisting with invoice management and filing.

Working with, and supporting, other EMG/Gravity Media businesses when operating in KSA and other Middle East territories.
Support the transition of our entity opening in KSA through to the location of our new premises and the end-to-end operational support needed to achieve this.
Handling administrative tasks both in and out of the office.

Overseeing the incoming and outgoing mail and main storage areas in the office.
Overseeing office maintenance tasks such as AC maintenance, painting, lighting, etc.

Updating maintenance records regularly.

Performing any other assigned office duties.

Production Management
Supporting the invoice process, working with regional Finance to raise and track POs and invoices.
Facilitating applications for VISA and work permits through various KSA Government portals.

Booking hotels and travel for crew.

Work in partnership with the regional team and Head Office functions to build lasting professional relationships, and to work in compliance with company procedures.

Working onsite at productions/events in a supporting role.

Building a portfolio of freelance staff to work on events/productions in KSA.

Liaising with the regional and international Production Teams to adopt common processes with booking, onboarding and offboarding freelance crew.
Work with other international Production and Management teams to facilitate the movement of employees from other EMG/Gravity Media entities into KSA and the region.

Providing production support such as printing, binding, copying, etc., when necessary.

Adhering to our company H&S policy and ensuring that all local H&S regulations are understood and adhered to.

REQUIREMENTS

Essential

Arabic Saudi national.

Working hours are generally normal weekly working days, but due to the nature of our business and our client requirements, weekend work will be required and will be compensated with time off as appropriate.

Proficient level computer skills; Windows, Word, Excel, PowerPoint, Outlook.

Written and spoken English and Arabic language skills (preferably fluent in both).

Ability to travel outside of Saudi Arabia.

Ability to work independently, with a proactive and organised way of working, as this role will have limited hands-on supervision.

Strong communication and interpersonal skills.

Experience of live events and or media/broadcast industry
