About the role

A brief summary 

Service Delivery Manager – Studio Crewing Global Events

Based at the Remote Broadcast Center in Dublin,  the role will primarily involve managing our global staffing events contract.  This position will be heavily client facing and will involve booking production & technical support crew, arranging contracts for freelancers, cross checking travel & visa requirements with our client.  There will also be requirements review bookings put  together quotes and managing billing & cost projections.  While this role will mainly focus on the global event staffing, there may be a need to support and manage bookings for other client projects at times.

Where this role will require constant contact with EMG / Gravity Media clients, we are looking for someone who is outgoing, can take initiative and problem solve. While this job is a Monday to Friday role for the majority of the time, there will be occasions where weekend working or working outside of traditional office hours will be required, to provide additional support to the client. This position will require a high travel flex and a valid passport must be held for the duration of the contract.

What you’ll be responsible for

Duties and responsibilities include, but are not limited to:

Production Management for Global Event Staffing

  • Creating schedules for global staffing events and serving as a main point of contact for with our client.
  • Acting as primary point of contact for our client, suppliers, and tournaments organisers in relation to our team of broadcast freelancers.
  • Support live events with our client Senior Event Manager, Line Producer and Finance teams to project events costs including overtime where applicable.
  • Be the most senior representative for EMG Gravity Media on site during tournaments, this will be in rotation with our travelling production manager.

Management of Cost Tracking

  • Forecasting and ensuring running budgets are always up to date.
  • Requotes, new quotes and invoicing for existing projects.
  • In conjunction with the production team, making sure quote and invoicing are submitted in a timely manner pre and post event.
  • Reviewing and approving all freelancer expenses.
  • Tracking and reporting any cost associated with Overtime.
  • Tracking and reporting with the Production Manager on site for payroll function.
  • Cost reporting on a regular basis to the client and EMG /Gravity Media team.

Booking of Crew and Facility

  • Crewing large scale projects and facility support, along with issuing crew contracts for global events.
  • Cross checking accommodation, flights and other travel arrangements for staff and freelancers have been booked ahead of every tournament.
  • Updating all crew assignments using both Gravity Media and client software.
  • Tracking and reporting on timesheets for tournament events.

Administration Management

  • Ensure the delivery of all administrative requirements. E.g., Creating call sheets, risk assessments, contracts, release forms and raising purchase orders.
  • Overall responsibility for making sure all aspects of production management are successfully planned and executed for each project, with support from the production coordinator.
  • Facilitate production meetings and other ad-hoc tasks.
  • Managing production request, escalating and resolving in a timely manner.
  • Establish a strong relationship with the client to communicate and evaluate alternative people solutions where possible.

People Management

  • Manage a team of esports broadcasting professionals on assignment on for our client and their global events.
  • Oversee hiring, logistics support, deployment and management of freelance flex force on global events.
  • Use their knowledge of resource management to improve and/or create processes on resource allocation, as well as reporting and monitoring of resource demand and supply.
  • Monitor and manage working time for global events staff.
  • Leading weekly status meetings to pre-empt urgent and upcoming projects.

This role is for you if

  • At least 8 years of experience in a bookings, scheduling, or resource role within the broadcast industry.
  • Strong teamwork skills.
  • Proven track record of staff scheduling and time management.
  • Ability to prioritise workload and delegate successfully.
  • In depth knowledge of scheduling systems and reporting
  • Demonstration of previous experience of some of the duties and responsibilities outlined in this job description.
  • Solid planning and organisational skills.
  • Attention to detail – take pride in representing accurate data with an acute attention to detail.
  • Knowledge of esports Production is an advantage.
