Based in our brand-new production centre, the Westworks in White City, the role will primarily involve managing our ATP contract. This position will be heavily client facing and will involve booking technical support crew, arranging contracts for freelancers, booking accommodation, and using scheduling software. There will also be requirements to manage facility bookings, putting together quotes and also managing billing. While this role will mainly focus on the ATP, there will be a need to support and manage bookings for other clients too at our Westworks facility.

Where this role will require constant contact with Gravity Media clients, we are looking for someone who is outgoing, can take initiative and problem solve. While this job is a Monday to Friday role for the majority of the time, there will be occasions where weekend working or working outside of traditional office hours will be required, to provide additional support to the ATP.

Responsibilities

Duties and responsibilities include, but are not limited to:

Production Management for ATP Media’s UK Hub Facilities

• Creating schedules for ATP events and serving as a main point of contact for ATP.

• Acting as primary point of contact for ATP staff, suppliers, and tournaments organisers. Support live events on air with clients.

Management of Cost Tracking

• Forecasting and ensuring running budgets are always up to date.

• Requotes, new quotes and invoicing for existing projects.

Booking of Crew and Facility

• Crewing large scale projects and facility support, along with issuing crew contracts.

• Managing accommodation, flights and other travel arrangements for staff and freelancers.

• Updating all crew and facility usage on scheduling software.

Administration Management

• Ensure the delivery of all administrative requirements. E.g., Creating call sheets, risk assessments, contracts, release forms and raising purchase orders.

• Overall responsibility for making sure all aspects of production management are successfully planned and executed for each project, with support from the production coordinator.

• Facilitate production meetings and other ad-hoc tasks.

Experience

Essential

• Demonstration of previous experience of most of the duties and responsibilities outlined in this job description.

• A minimum of 2 years’ experience as a production or bookings co-ordinator and/or production or bookings manager, working in sport.

• A proactive, logical, and systematic approach to problem solving – the ability to ‘trouble shoot’.

• Efficient admin organisation and general computer literacy.

• Excellent communication skills – must be confident in dealing with a variety of people inside and outside the business.

• Enthusiastic and willing to learn new skills.

• Able to work well within a team and use own initiative.

• Flexibility (some out of hours working may be required & weekend work).

Desirable

• Experience of using scheduling software, such as ScheduALL.

• Good list of contacts and freelancers across all elements of the production process.
