ROLE OVERVIEW

We are seeking an experienced Production Coordinator to join our growing team. Reporting to Gravity Media Australia’s Head of Operations, the Production Administrator will be responsible for the day-to-day facilitation of logistics, staffing, and administrative support for various projects. This role will assist and support the Account and Project Management teams in delivering a high level of customer service to all clients, ensuring smooth production operations. You will be a key player in problem-solving, troubleshooting, and liaising with relevant stakeholders, while upholding a high level of professionalism with both clients and crew.

This is a full-time position with the option to be based in either Sydney or Melbourne.

ROLE RESPONSIBILITIES

  • Resource Coordination: Schedule and coordinate resources for the department and assigned projects, including crew, logistics, vehicles, and equipment.
  • Operational Efficiency: Prioritise work and collaborate with team members to maximize resources and efficiencies.
  • Project Management: Ensure timely delivery within project timeframes, including processing timesheets, purchase orders, and invoices accurately.
  • Budget Management: Reconcile project costs against the budget and provide project reporting to management.
  • Stakeholder Relations: Maintain positive relationships with the freelance community, team members, and suppliers.
  • Support Functions: Assist with general administrative duties, travel arrangements, and expense claims as needed.

SKILLS & EXPERIENCE        

  • Excellent time management skills with the ability to efficiently prioritize multiple projects under pressure.
  • Effective communication skills and an ability to influence and build strong relationships with key stakeholders.
  • Initiative-driven with strong problem-solving capabilities.
  • A good attitude, a desire to grow within the business, and the ability to take direction and instructions.
  • Experience in a similar role within the broadcast industry is desired but not essential.
