We are looking for a Junior Production Coordinator, with a drive to deliver and an exacting attention to detail to join the Production team in Dublin. The ideal candidate will have a proven background in forward planning and execute their day-to-day duties with care and consideration. The ideal candidate will need to be a clear and confident communicator, be able to adapt quickly to both production and on-air changes and remain calm under pressure. Their aim will be to ensure accurate delivery of service, everything from hotel, travel, catering, studio/talent needs to supporting the Senior Production Coordinator, Production Manager and Producer circles.

About the role

The ideal candidate will need to be a clear and confident communicator, be able to adapt quickly to both production and on-air changes and remain calm under pressure. Their aim will be to ensure accurate delivery of service, everything from hotel, travel, catering, studio/talent needs to supporting the Senior Production Coordinator, Production Manager and Producer circles.

The Junior Production Coordinator will be an integral part of the Production management team and you will take guidance from the Senior Production Coordinator & Production Coordinator while reporting to the Service Delivery Manager for Gravity Media on assignment at our client Remote Broadcast Centre. The position is based in the greater Dublin area. The position may require international travel on occasion.

The Junior Production Coordinator will be working with a team of broadcasting production management specialists in a remote broadcast centre environment.

What you’ll be responsible for

  • Working with the production management team, inputting, and maintaining the master calendar of events which include event productions and crewing schedules.
  • Manage administrative tasks associated with events/productions.
  • Booking of travel and accommodation.
  • Maintain high availability after-hours and be on-call for emergencies, including weekend work.
  • Working with the production management team to liaise with relevant in-house stakeholders to secure, manage, and update needs for the broadcast, particularly in the areas of catering, travel, and accommodation.
  • Ensure the specialist dietary needs of visiting crews are catered for, including ring-fencing any special dietary meals.
  • In consultation with the production management team proactively anticipate changes and adjustments in the needs of the broadcast and gallery team.
  • Prepare draft call sheets for review by the production management team and ensure the site is ready for the day’s broadcast by arriving before the core call time.
  • Check-in on other departments, ensuring assets or resources required are provided for respective tasks.
  • Coordinate local shuttle bus/taxi collections.
  • Printing and distribution of call sheets.
  • Keeping track/record of travel and on-site catering.
  • Production assistant duties i.e., being the go-to person for facility and administrative needs that arise on broadcast day including on site distribution of catering on broadcast days.
  • Support to talent/presenters – meet and greet/offering assistance.
  • Checking dates and times in conjunction with the production management team.
  • Gathering invoices from travel, accommodation, and catering partners – confirming accuracy
  • Ensuring any feedback or notes from Producing circle are implemented for next day’s broadcast.
  • This position will have access to the entire production team, talent and behind the scenes access. The ideal candidate will have a service first approach coupled with an eye for details and forward planning view to mitigate future tasks and needs.

  • Experience managing data entry and competent in excel and Google sheets.
  • Demonstration of previous experience of some of the duties and responsibilities outlined in this job description
  • Previous experience as a Production Coordinator, or a Production Assistant for 1-2 years in TV
  • Solid planning and organisational skills
  • Excellent communication and interpersonal abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Basic understanding of production processes and terminology.
  • Attention to detail – take pride in representing accurate data with an acute attention to detail.
